The transfer seems like a simple service only until the moment the flight arrives at another terminal, the luggage is delayed, the driver does not see the passenger, and the family’s phone is dead. For the client, this is the first contact with the destination, and for the travel agent, it is a chain of dependencies that needs to be checked as carefully as a flight or hotel.
A robust meeting plan links flight details, passenger mix, baggage, suitable vehicle, point of contact, waiting rules and backup scenario. He does not promise that there will be no delays. It makes it clear who is doing what if reality differs from the original schedule.
Elena’s educational example: planning the arrival pick-up before boarding
Consider this illustrative training scenario: Elena, a travel advisor from Zaporozhye, has been working with family trips for seven years. She is calm and likes to confirm details in advance. Once, a family with a small child was taking a connecting flight with a prebooked private transfer and a child seat. A few hours before departure, the airline changed the arrival terminal.
Previously, Elena would have simply forwarded the new flight number to the supplier. This time she checked the entire meeting card: terminal, exit point, car capacity, seat, driver contact and free waiting time. It turned out that the flight update did not change the terminal in the transfer company's system.
Elena received a new written confirmation, sent the family short instructions without unnecessary details and agreed that if the luggage was delayed, one adult would inform the driver, and the other would remain at the belt. The plane arrived later, but the driver was waiting at the correct terminal exit, the seat was installed, and the family did not have to find out the conditions on the spot.
I'm not just checking the car. I check every minute of the meeting: where the person will be, who will recognize him, and what will happen if the flight or luggage is delayed.
Elena — character in the illustrative training scenario
Think of the transfer as an eight-link route
- Current flight and actual airport of arrival.
- Terminal, exit area and driver access restrictions.
- Composition of passengers, age of children and functional needs.
- Number and type of luggage, including oversized luggage.
- Confirmed class and capacity of the vehicle.
- A method for identifying the driver and passenger.
- Rules for waiting, delay and no contact.
- Reserve channel and next responsible.
The weak link breaks the whole chain. The correct flight will not help if the driver is waiting in another area, and a large car will not help if a bicycle or folding stroller was not included in the order. Check relationships between facts, not individual fields.
Minimum meeting card
- Flight number, date and local time of arrival.
- Airport and terminal from a relevant source.
- The last name of the main passenger was transferred to the supplier without unnecessary data.
- Number of adults, children and infants.
- Number of suitcases, hand luggage and oversized items.
- Child seat type or other verifiable need.
- Destination address, property name and important landmark.
- Passenger's phone number with country code and backup contact.
- Telephone number of the dispatcher or supplier, available during arrival hours.
- Free waiting, cost of additional waiting and no-show rule.
Do not keep extra copies of documents for the sake of transfer. Transmit only the data that the provider needs to perform the service through an agreed upon secure channel. If a reservation number or document is required, clarify the purpose and limit access.
Flight and terminal check
- When creating an order, enter the operating flight number, not just the route.
- 48–24 hours before arrival: compare the airline, airport and transfer supplier’s booking details.
- When codesharing, check the actual carrier and its flight.
- After changing the schedule, request confirmation that the transfer has been updated.
- On the day of arrival, designate the source of the actual status and the owner of the check.
- Do not promise a specific exit until it is confirmed by the airport or supplier.
Automatic tracking is convenient, but does not replace confirmation. The system may see a delay and not update the terminal, and the supplier may receive a change without a new appointment time. After a significant event, record what exactly was updated in the order.
The car must match the real composition
- All passengers are seated in standard seats with belts.
- Suitcases fit without using passenger seats.
- A stroller, skis, bicycle or equipment are included in the order.
- The child restraint system is age and destination appropriate.
- There is room for mobility aids if needed.
- The number of cars and the order of division of the group have been confirmed.
- The client understands what baggage was claimed and what will happen if it is exceeded.
Do not determine capacity by the vehicle class name alone. For different suppliers, the same class means different interior and trunk. Ask for confirmation in numbers: passengers, standard suitcases and a specific oversized item.
Meeting mechanics without ambiguity
- Identify the meeting area: after baggage claim, by a specific terminal exit or at a desk.
- Describe a method of recognition without publishing unnecessary personal data.
- Indicate who calls first and after how many minutes.
- Explain where to wait if the driver's access to the terminal is limited.
- Provide one primary and one backup contact.
- Ask the client not to get into a random car and check the trip details.
“After collecting your luggage, go to the common area and stay near the agreed point. If you haven’t seen the driver in ten minutes, call the dispatcher using the number on your voucher and write to me. Do not agree to replace a vehicle without confirmation from the supplier.”
Brief instructions for the client
The photo of the car or the driver's name is only useful as additional information: they are subject to change. The basis remains the order number, the confirmed supplier channel and a clear reconciliation procedure.
If your flight or luggage is delayed
- It is clear whether the supplier tracks the flight automatically.
- It is known from which event the free wait begins.
- The client knows whether to report delays at passport control or the baggage carousel.
- The channel through which the supplier will confirm the extension of the wait has been named.
- The cost of waiting after the free period is fixed.
- There is a rule for delays of more than one hour.
- There is a backup way to get to the hotel and a cost guide.
Do not advise the passenger to leave the baggage area to save the transfer if the suitcase has not been issued. It is better to agree on the signal to the driver and the waiting limit in advance. The decision must take into account security, connectivity and airport regulations.
No contact protocol
- The passenger remains at a pre-designated safe point.
- Checks the main contact and order number.
- Calls the dispatcher and records the time of the attempt.
- Briefly informs the agent: place, time and availability of communication.
- Does not order a replacement until the status of the original service is clear, if the situation is safe.
- After the agreed boundary, uses the fallback option and saves proof of expenses.
It is important for the agent not to manage the driver through five parallel chats. Assign one transaction channel to the supplier, collect facts and communicate the next update deadline to the client. This reduces the risk of conflicting instructions.
What to request from the supplier in writing
- Airport, terminal, date and local time of meeting.
- Flight number and delay tracking confirmation.
- Class, capacity and special elements of the car.
- Meeting point and identification method.
- The contact who answers during the arrival.
- Free waiting and additional payment rules.
- No-show conditions and procedure for recording the absence of a passenger.
- The procedure for replacing a driver or car.
- Fallback action in case of service unavailability.
The phrase “everything is confirmed” is not enough. Save the answer where the critical parameters are visible. If the supplier only responds with a general pattern, ask one question for each significant discrepancy.
Reminder to the client on one screen
- When to turn on communication and check messages.
- Where to go after receiving your luggage.
- How to recognize the driver and safely verify the order.
- Who to call first and who to call second.
- What to report if your baggage is delayed.
- How long to wait before running the backup script.
- What confirmations to keep when paying yourself.
The memo should help a person act in a noisy airport, and not demonstrate the amount of work an agent does. Leave only the steps, the order of contacts and the boundaries of the solution.

- Supplier, order number and responsible contact.
- Critical parameters of the car and luggage.
- Special needs communicated with the client's consent.
- Wait rule and fallback scenario.
- When the client received the memo and confirmed it.
- Change of flight, who processed it and how the recheck was completed.
Transfer reliability metrics
- Proportion of orders with a full appointment card.
- Proportion of significant changes confirmed by the supplier.
- Number of discrepancies involving the terminal, vehicle or child seat.
- Proportion of meetings where the client needed a backup channel.
- Average first response time when there is no contact.
- The number of costs incurred due to an untested part.
- Recurring reasons turned into a new checklist item.
Check in 20 minutes
- Five minutes: check flight, airport, terminal and local time.
- Four minutes: Confirm passengers, luggage, seats and capacity.
- Three minutes: check the meeting point and two contacts.
- Three minutes: read the terms of waiting and no-show.
- Three minutes: Write down the backup script and its trigger boundary.
- Two minutes: send the client a memo and receive a short confirmation.
A quality transfer begins not at the car door, but with an agreed chain of facts. When a travel agent checks the flight, actual capacity, meeting mechanics and backup scenario, the client receives not an abstract service, but a clear path from arrival to hotel.
