Illustrative training scenario. Names, cities, experience and figures in this story illustrate the method. This is not a verified case study or a confirmed result of an XO network member.

An expert online meeting about a destination can lead to warm requests without a race for coverage. But for this, it should not be a long advertisement for the tour and not a general broadcast “about everything,” but a useful event with a narrow task, understandable to the audience, voluntary registration and a logical next step.

The travel agent wins not by the number of spectators, but by the quality of the conversation after the meeting. A good funnel starts with a specific client question, provides verifiable guidelines, collects only the necessary data and turns interest into a consultation without pressure or mass mailings.

Illustrative scenario: Irina: why twenty registrations turned out to be more valuable than a hundred views

Consider this illustrative training scenario: Irina, a travel advisor from Poltava, speaks easily and loves to explain complex things in simple words. She dedicated her first broadcast to “summer holidays abroad.” There were too many topics, the invitation sounded vague, and at the end Irina immediately showed a selection of prices. There were a lot of views, but almost no one wrote.

Next time, she chose one audience - families planning island Greece for the first time - and one task: in 35 minutes, understand which island format suits them and what expenses to check before selection. The registration contained three questions; the broadcast ended with an offer to receive a personal criteria card. Twenty people came, eight requested a consultation, and three families booked a trip over the following weeks. Irina did not sell louder on air - she more accurately connected the content with the client’s real decision.

I stopped considering the viewing itself a success. Now the meeting should help the person formulate his request, and I should understand who really needs advice.

Irina — character in the illustrative training scenario

Start with a solution, not a destination

The name of a country attracts curiosity, but not necessarily intent. A strong topic answers the question that a person must decide before choosing: where is it quieter with a small child, how to compare food types, when you need a car, how resorts differ in rhythm, or what budget to consider beyond the package.

Narrow topic formula

  1. Select one segment: families with preschoolers, couples without a car, first trips, active travelers or a specific departure city.
  2. Name one decision that the participant can make after the meeting.
  3. Limit the geography, season, or format to keep the tips applicable.
  4. Set boundaries: what will be sorted out and what requires personal inspection.
  5. Frame the next step as help in applying the criteria, not as a requirement to buy.

Instead of the topic “All about Turkey,” the promise “How to choose a resort in Turkey for a family with a child under five years old: beach, transfer, food and the real rhythm of the day” is more useful. Narrowness does not reduce the value - it helps the right person recognize himself in the invitation.

Check demand before preparation

  • There is a recurring question on this topic in CRM or correspondence.
  • You can describe the specific audience in one sentence.
  • There are current official and supplier sources on the topic.
  • In 30–40 minutes, it’s realistic to provide a working solution map, rather than an overview of hundreds of options.
  • There is a relevant next step: consultation, brief or mini-selection, not an abstract subscription.
  • The team will be able to handle the expected number of hits after the event.

Before creating a presentation, talk to three to five clients or review recent conversations. Write down their wording, doubts and deal-breakers. This will be more useful than basing a meeting on the popularity of beautiful places on social networks.

Collect an event promise

  • For whom the meeting is and for whom it is not suitable.
  • What decision will the participant be able to make?
  • Three to four questions that will be discussed.
  • Date, duration, format and whether there will be a recording.
  • What the participant needs to prepare in advance.
  • How the registration data will be used and what messages the person will receive afterwards.

Don't promise "secret prices", a guaranteed visa or the perfect hotel. Promise structure, verifiable criteria, and clarity of the next step. If conditions change quickly, please include a date of relevance and explain that the specific service is being rechecked before payment.

Minimum registration form

  • Name and convenient contact, really needed for access and reminders.
  • Composition of travelers or type of trip.
  • Indicative period, if it affects the content.
  • The main issue that the participant wants to solve.
  • Separate, clear consent for follow-up materials or consulting contact.
  • Link to data policy and easy way to opt-out.

Don't turn registration into a full tour brief. A long form reduces participation and collects data before it is needed. The minimum is enough for access; The agent will clarify a detailed request only from those who choose a consultation themselves.

Architecture of a 35-minute meeting

  1. 0–4 minutes: context, who the meeting is for, boundaries of advice and expected outcome.
  2. 4–10 minutes: Selection map - the main criteria and the order in which to compare them.
  3. 10–22 minutes: Three typical scenarios with benefits, limitations, and review questions.
  4. 22–28 minutes: Common mistakes, extra costs, and signs of an unsuitable option.
  5. 28–33 minutes: answers to pre-assembled questions.
  6. 33–35 minutes: final checklist and voluntary next step.

If there is more material, do not speed up your speech or extend the meeting to an hour and a half. Choose what helps you make the stated decision, and include the details in a short material or a separate consultation.

Give us a map of choice, not a catalog

The participant should leave not with a list of twenty hotels, but with logic: what parameters to check with himself, how to compare two scenarios and where an agent check is needed. The catalog quickly becomes outdated; The criteria map remains useful and demonstrates the expertise more honestly.

If a short transfer and a gentle entrance are important to you, first weed out your options based on these two restrictions. Then compare the rhythm of the resort and the food. I will check the specific beach, room and rate based on your dates and composition.

Example of an expert explanation

Use sources transparently

  • Facts about entry rules, transportation and payment have an official source and verification date.
  • Hotel characteristics are verified not only with advertising descriptions.
  • Prices are shown as an example at a specific time and not as a permanent promise.
  • Personal experience is separated from the universal rule.
  • The uncertainty is explicitly named: what changes, what depends on dates, and what needs to be double-checked.
  • The date of relevance remains in the record or material.

Trust is created not by absolute certainty, but by transparency of the method. The phrase “this needs to be checked for your flight and fare” does not weaken the expert; it shows that the agent understands the boundaries of shared information.

Invitation without spam

  • A personal invitation to a past client if the topic matches their known interest and the channel is allowed.
  • Publishing on your own social networks with a clear subject and registration.
  • Partner audience with coordinated placement, without transferring contact lists.
  • Recommendation of a participant to a friend via an open link.
  • A small advertising test for a narrow audience with a separate source tag.
  • Repeated invitation to those who voluntarily subscribed to announcements of such meetings.

Do not load someone else’s database into your mailing list or ask your partner to pass on customer numbers. The safe way is that the partner publishes the link on their site, and the person registers on their own and sees from whom they will receive messages.

Three messages until the broadcast

  1. Immediately after registration: confirmation, program, link and the ability to add an event to the calendar.
  2. The day before: a short reminder of what to prepare, and a question that can be sent in advance.
  3. One hour before the webinar: send only the link, start time and technical guidance, without another sales pitch.

Each message must perform one function. Do not add daily tour offers between registration and broadcast. This increases unsubscribes and breaks the promise of a useful event.

The next step without pressure

At the end, offer two independent paths. The first is to take the checklist and apply it yourself. The second is to request a consultation to have the agent apply the criteria to the participant's dates, line-up and budget. A person must explicitly select a contact, and failure to apply is not considered consent to personal selling.

If you want to check these criteria on your trip, mark “need consultation” in the form and indicate a convenient time. If there are enough materials for now, just take the checklist - there will be no additional calls without a request.

Soft Summon Example

Follow-up behavior, not the same for everyone

  • Participated and requested a consultation: respond within the promised time frame and start with his question.
  • Participated, but did not request a consultation: send the material and one question about assessing the benefit.
  • Registered, but did not come: give a recording or summary, if it was promised, without a series of sales.
  • He asked a specific question: answer within the limits of general information or offer to check the details.
  • Opted out of messages: immediately update consent on all lists.
  • The topic is not suitable: do not automatically transfer the contact to the general advertising database.

Personalization doesn't start with the name in the subject line, but with respect for the person's action. Segment by participation, question, and chosen next step, rather than by assuming that registration equals willingness to buy.

CRM request card

  • Event name, date and source of registration.
  • Voluntary answers of the form and the main question of the participant.
  • Participation status: was online, watched the recording, did not come.
  • Consent and permitted channels of communication.
  • Selected next step and promised response time.
  • Responsible agent and result of consultation.
  • The reason for the lack of interest, if the person reported it himself.

Entire funnel metrics

  • Conversion of the invitation page into registration for each source.
  • The proportion of registrants who attended or watched the promised recording.
  • Retention to the key block and the number of meaningful questions.
  • Proportion of participants who independently requested consultation.
  • Time to first response and the proportion of consultations that took place.
  • Convert consultations into bookings and gross value without attributing all sales to one broadcast.
  • Unsubscribes, complaints and uncoordinated contacts as a mandatory indicator of quality.

Don't draw a conclusion from one event. Compare two or three meetings with the same logic and change one element at a time: topic, source of invitation, time or call. Otherwise, it is impossible to understand what really influenced the result.

Launch plan in seven days

  1. Day 1: Select a recurring customer question and narrow audience.
  2. Day 2: Set a promise, boundaries, and next step.
  3. Day 3: Collect a solution map, sources, and three scenarios.
  4. Day 4: Create a minimal form and reminder chain.
  5. Day 5: Rehearse, cut material and check technique.
  6. Day 6: Send invitations only to relevant audiences.
  7. Day 7: hold the webinar, record permissions and deliver the promised follow-up.

Checklist before publishing an announcement

  • The topic describes one audience and one solution.
  • The content is based on current sources and does not contain guarantees.
  • The form collects a minimum of data and a separate consent for further contact.
  • The meeting fits into the stated time and ends with a practical outcome.
  • The next step is voluntary and consistent with the content.
  • CRM is ready to differentiate between sources, participation, consent and consultation request.
  • The team is able to respond to all interested parties within the promised time frame.

An online expert meeting works when it helps the participant better understand their own task. Then the appeal arises not from pressure, but from a natural continuation: the person has already seen the agent’s method, formulated the criteria and chooses help in applying them to a specific trip.
